File Management System: Instructions
To send a file using the File Management System (FMS), follow these steps:
(1) Launch FMS by going to http://fms.med.miami.edu/. (Click on the link. FMS will open in a new browser window.) For security purposes, you will need to authenticate with your Medical ID and associated password.
(2) Enter your email address and the email address(es) of the recipient(s).
(3) Enter a Note to the recipient. (Something simple like "Jane-- Here is the file you requested today. Call me at 555-555-5555 if questions. --John" will help reassure the recipient that the communication is legitimate.)
(4) Use the Browse button to select the file you want to send. (It must be stored on your computer, or on removable media that you've inserted into your computer, like a CD or flash drive.) You can send only one file at a time. If you need to send multiple files, consider packaging them into a single zipped file.
(5) Click on the Send button.
The system will indicate when the transfer is complete. You will also receive an email message from the FMS system confirming that the file has been uploaded and is waiting for the recipient.
The recipient will receive an email message from FMS which asks them to click on a link to download the file. Files will be available for seven (7) days from the time of upload.
NOTES:
(1) It is appropriate to be cautious about links in e-mails from sources that you don't recognize. So it may be helpful to send a separate, prior email to a file recipient indicating that you are sending a file via this system, or give the recipient a "heads up" call on the phone. At a minimum, include an informative message in the file transfer message in the space provided (step 3 above).
(2) Do not use FMS to send sensitive files. Email messages with the download link are currently sent unencrypted, and anyone who has the link can download the file.
