EMAIL ARCHIVING

In May 2010, Medical Information Technology began using an email archiving system to enhance the Medical Campus based email service.  This has allowed us to optimize email storage and work towards providing you with more mailbox space.  We will be making a change to the email archiving system to further optimize email storage in an effort to keep up with your growing mailbox needs.
 
What is changing about the email archiving system?
We are currently archiving email message attachments that are older than six months. Starting September 1st, message attachments older than ninety days will be archived by the system.
 
The benefit is that these older and rarely accessed message attachments will no longer count against the size limit of your mailbox. This will help to optimize email storage for everyone using our email service.

This change will be applied to email accounts gradually, so some users may see the difference before others.
 
Will I still be able to access email message attachments after they have been archived?
Yes. However, instead of the attachment, the message will contain a file that serves as a shortcut to the attachment. Opening the shortcut file will allow you to access the archiving system and download your attachment.

Can I choose which attachments are archived?
The archiving system allows you to restore attachments to your Inbox if you wish. Keep in mind that restoring an attachment to your Inbox means the attachment will count toward your Inbox size limit.
 
When should I restore an attachment?
It’s really up to you. We recommend that you restore any attachments that you find yourself accessing frequently to avoid downloading the file every time you need it.
 
I currently have old email messages stored in a .PST file on my Windows based computer or elsewhere. Will the email archive system move and then shortcut attachments on those messages?
No. The email archive system will only archive email message attachments in your Inbox and its sub-folders.

How will I know if my email message attachments have been archived?
Archived attachments will retain their original names, with an added suffix of .html. So if you had an attachment named "surgeryvideo.mov", when it is archived, it will show up as "surgeryvideo.mov.html."
